What Size Tent Do I Need? A Guest-Count Guide

The most common question we get — and the most important one to get right. Too small and dinner feels cramped; too large and the budget went somewhere it didn't need to. Here's how we size tents after four decades of Southern Illinois events.

The Square-Footage Rule of Thumb

Start with how guests will use the space. A seated dinner with round tables needs roughly 10–12 square feet per person. Cocktail-style with highboys and mingling room needs about 8. Ceremony-style row seating needs about 6.

Then add space for everything that isn't a guest: a head table, buffet lines, a bar, a dance floor, a DJ or band, and a gift table all take real square footage. This is why a '100-person tent' can mean very different sizes depending on the event.

Quick Sizing by Guest Count

These are the configurations we quote most often. Every event is different — surface, layout, and extras move the answer — but this is a reliable starting point.

  • 20–40 guests: 20×20 frame tent or small canopy — backyard parties, intimate receptions, vendor areas.
  • 50–100 guests: 20×40 or 30×30 frame or pole tent — room for dining tables plus space to move between dinner and socializing.
  • 100–200 guests: 30×60 or 40×40+ — full dining plus a dance floor, bar, and staging.
  • 200+ guests: 40×60 up to 40×160 pole tent configurations, expandable in 20-foot increments.

What Else Moves the Size Up or Down

A dance floor for 100 guests adds roughly a 15×15 footprint. A buffet adds a serving line plus queue space. Long banquet tables seat more people per square foot than rounds, but rounds are better for conversation.

The surface matters too: pole tents need open grass for staking and give you the most space per dollar, while frame tents work on pavement, patios, and tight layouts where every foot counts.
